Conference Manager

Responsible for managing planning meetings and implementing national and regional trade shows coordinating participation by staff within six business divisions. Includes establishing show goals, objectives and metrics and providing expert trade show consultation on how to develop and drive strategic positioning messages to meet defined results. Reporting on performance according to predetermined metrics. Coordinating related trade shows' marketing activities; pre- and post-show direct mail campaigns and internet promotions, advertising and in-booth promotions. Also includes on-site management of shows including supervision of all union and non-union vendors. Provide pre-show and at-show training on booth staffing skills for all attendees.  Establish schedule of deadlines for all show-related activities; assign ownership to appropriate internal and external vendor participants, and follow-up through completion of each activity to ensure deadlines are met. Complete show services paperwork and prepare financial paperwork to generate prepayments. Manage each show to its defined budget, to achieve best cost/lead ratio. Coordinate production of trade show graphics, product displays and booth layouts to meet standard formats. Coordinate with internal departments to secure photography, copy and other graphic design elements; work with photo lab and exhibit house vendors on production of trade show elements to ensure a quality product, which is delivered on time and within budget.  Prepare and distribute pre-show memos to all attendees; prepare and distribute support documentation required for on-site set-up and dismantle by field personnel. Develop and maintain comprehensive training manual and process for all non-exhibit department staff responsible for supporting trade shows, includes Technical Services, Training, Field Sales, R&D, Product Marketing and Product Management staff.  Lead the development and on-going maintenance of exhibits department at the intranet home page. Ensure all information is current and of relevance to reader audience; topics will include trade show schedule, trade show goals, promotions and performance results.  Data entry of shipping orders for each trade show managed, using trade show organization code database for inventory management of exhibits and product property. BS in Communication Art, Business Management, or Sales and Marketing 3 – 4 years trade show experience in planning meetings, preparing services paperwork, supervising on-site set-up and tear down, managing all union and on-union vendors including shipping and graphic production. Ability to determine strategic sales and marketing based show goals and objectives, and implement strategies to achieve high performance, based on specified metrics. Strong budget management skills. Strong PC skills in Microsoft Word and Excel and Lotus Notes. Must be detail-oriented and organized; accuracy and thoroughness in all documentation is required. Must be able to work independently, manage multiple projects at the same time and meet project deadlines. 25% travel.Back to top

Risk Management - Insurance - Virginia Commonwealth University Position

Real Estate and Foundation Services Assists in securing proper insurance to preserve VCU and affiliate assets. Coordinates a risk management program to minimize losses and claims. Coordinates with building managers and facilities management in awareness program for safety. Oversees claims processing and assists in coordinating VCU self insurance planning. Maintain a loss prevention program, responsible for claims administration insurance. Liaison with VCU foundations and the Virginia Biotechnology Research Park and assist director in managing VCU's insurance budget. Qualifications: Professional designation of associate risk management or commensurate experience and experience in insurance/risk management with emphasis on claims handling. Excellent communication/organizational skills, some budgetary exposure, general business background with concentration in insurance, bachelors or equivalent experience preferred.
